Terms & Conditions

By commissioning Olivia Provey Studio for custom wedding stationery, you acknowledge and agree to the following Terms & Conditions. These terms ensure a clear, collaborative process and protect both the client and the artist throughout the duration of the project.

1. Booking & Payments

Clients must review and accept the Terms & Conditions and sign the project contract before submitting a deposit. A project will not be added to the studio schedule until both the contract is accepted and the deposit is received.

  • A non-refundable 50% deposit is required upfront to secure your place in the studio schedule.

  • Due to limited availability, failure to submit the deposit promptly may result in losing your spot or delaying your project timeline. Client projects will not be added to the schedule until payment is received.

  • The remaining balance will be split into 2-3 payments depending on the scale of the project.

  • Late or missed payments may delay project progress or delivery.

2. Project Timelines

  • Each client’s project is allocated a dedicated timeframe based on its scope, ensuring thoughtful attention and care for every design.

  • Once accepted, project timelines and deadlines become binding. Clients must adhere to agreed-upon dates for providing inspiration materials, approvals, and feedback.

  • Major changes to timelines may incur a $850–$2,500 USD rescheduling fee.

  • Exceptions:

    • Stationery wording may be finalized closer to the wedding date.

    • Printing for day-of paper goods may occur closer to the event.

3. Communication and Collaboration

Submission of Information

Clients are responsible for providing all necessary details, including invitation copy and day-of stationery text, by the specified deadlines. The studio will schedule a review call prior to your design date to discuss proposed concepts.

Collaboration is at the heart of the design process.

Clients are required to:

  • Share a mood board, Pinterest board, or collection of inspiration images prior to design initiation and by the date specified in the client’s contract.

  • The copy for your stationery must be provided by the client. Olivia Provey Studio does not offer copywriting, editing, or proofreading services. It is crucial that all information is accurate and submitted by the specified design deadlines. Please carefully review your text for typos, errors, or missing details and submit all copy exactly as you would like it to appear. Copy must be shared prior to design initiation and by the date specified in the client’s contract.

Timely Communication

  • Review and provide feedback on all proofs within 2-3 business days of receipt.

    • Rush Projects: Review and provide feedback on all proofs within 1 business day of receipt.

  • Timely communication ensures that projects stay on schedule. Delayed responses will result in extended timelines, which the studio will reschedule based on current availability.

4. Creative Process & Artistic Style

  • By booking Olivia Provey Studio, you acknowledge and trust the artist’s distinct hand-painted style. While your inspiration guides the process, the final artwork reflects the artist’s interpretation.

  • The studio does not replicate other artists’ work, styles, or compositions. Each piece is an original creation inspired by your aesthetic and the studio’s artistic perspective.

The Sketching & Concept Phase

  • Once the design date begins, please allow 3–7 business days for the initial concept and sketch review, depending on project complexity. Sketches are created at actual paper size.

  • Clients are entitled to one round of sketches for each design.

  • Requested edits require 1–7 business days for review depending on scope and workload. Significant changes during the sketching may require a revised cost estimate and updated timeline.

The Painting Phase

  • Once sketches are approved, the painting phase begins.

  • Please allow 7–14 business days for the initial painting review, depending on project complexity. Paintings are scanned as high-resolution images and digitally edited in Adobe to fit the final stationery dimensions.

  • The studio reserves the right to paint design elements separately and digitally compose final compositions in Photoshop for flexibility.

  • Requested edits during the painting phase typically require 1–7 business days for review, depending on the scope of changes and current workload. Significant changes to the design during this phase may require a revised cost estimate and an updated project timeline.

  • Repaints: If a client requests a complete repaint of a design, the full cost of the artwork will apply.

5. Revisions & Edits

  • Custom stationery includes:

    • Two (2) rounds of edits per asset during the sketching phase.

    • One (1) round of minor edits during the painting phase (limited to color or motif adjustments not full compositions reworks).

  • Additional edits beyond the included rounds may incur a $300 USD fee depending on complexity.

  • To minimize extra edits, all imagery, color palette preferences, and layout details should be communicated before the sketching phase begins.

6. Design Exclusivity

  • Olivia Provey’s work is inspired by nature, botanical themes, and organic shapes. While each design is made uniquely for every client, some visual elements may appear in future works as part of the studio’s signature style.

  • No single motif, color, or element can be reserved exclusively for one client.

7. Artistic Limitations & Ethical Guidelines

  • The studio does not create:

    • Pet portraits or couple portraits

    • Projects connected to plantations or sites with a documented history of enslavement or cultural harm.

  • Olivia Provey Studio reserves the right to decline any project that does not align with its values or artistic style.

8. Cancellations & Refunds

  • Deposits are non-refundable.

  • Cancellation after initial sketches: 25% of remaining balance retained to cover planning and scheduling.

  • Mid-project cancellation (after painting begins but before completion): 80% of remaining balance retained.

  • Completed work: Full project cost applies; no refunds issued.

  • No refunds for digital files, printed stationery, or completed artwork.

9. Rush Orders

  • Rush projects may be accepted depending on availability.

  • Rush fees range from $800–$1,500 USD, depending on complexity and timeline.

  • Project timelines may be adjusted if delays occur due to client feedback.

10. Printing & Production

  • The studio offers digital printing on heavy-weight, cotton matte paper. Optional die-cutting and ribbon assembly add-ons are available.

  • If printing independently, print-ready files will be provided. Olivia Provey Studio is not responsible for third-party printing errors or quality issues.

11. Assembly Services 

  • Scope of Service
    Assembly services may be added once all stationery pieces have been printed and approved. Assembly includes, but is not limited to, ribbon application, suite stacking, and envelope stuffing. These services are intended to provide a refined and cohesive final presentation of all materials.

  • Delivery of Materials
    For clients who opt into assembly, completed suites will be prepared and delivered to the client or designated planner in fully assembled form.
    For clients choosing to assemble their own suites, all printed materials will be delivered neatly packaged and organized for assembly.

  • Mailing & Postage Responsibilities
    All tasks related to envelope sealing, postage application, hand-written guest addressing, and mailing must be handled directly by the client or their event planner. Olivia Provey Studio does not provide mailing or postal services.

  • Client Obligations
    The client is responsible for reviewing all delivered materials upon receipt and notifying the studio promptly of any concerns. Requests falling outside the agreed-upon scope of work may incur additional fees.

Limitations of Service
Assembly services are limited to the tasks specified above. Any additional or specialized assembly requests must be discussed in advance and are subject to studio approval

12. Quality & Defects

  • The final deliverables are created from original hand-painted artwork. Due to the handmade and artistic nature of the work, slight variations and natural imperfections in color and texture are to be expected.

  • Due to the handmade nature of products, slight variations or minor imperfections (such as paper edge inconsistencies) are not considered defects.

13. Intellectual Property

  • All designs, artwork, and digital files remain the intellectual property of Olivia Provey Studio.

  • Clients are granted a license for personal use only (stationery, invitations, keepsakes).

  • Artwork may not be reproduced, resold, or used commercially without written permission.

  • The studio retains the right to display or share designs for portfolio, marketing, and social media purposes.

  • Clients must credit Olivia Provey Studio when sharing work publicly.

  • Original paintings can be mailed upon request. Many designs are painted as individual elements and digitally composed in Photoshop for flexibility. Shipping costs are the client’s responsibility, and the studio is not liable for loss or damage during shipping.


14. Client Privacy

  • The studio may share elements of the creative process, works-in-progress, and final designs online.

  • Personal event details remain private until after the event or until consent is given.

  • Clients may opt out of sharing by notifying the studio in writing.

15. Limitation of Liability

  • Olivia Provey Studio is not liable for indirect, consequential, or incidental damages.

  • The studio is not responsible for errors caused by third-party printing or shipping, or for delays caused by late client feedback.

16. Amendments

Olivia Provey Studio reserves the right to amend these Terms & Conditions at any time. Clients are encouraged to review these terms regularly.
